Government Information Access Workgroup Minutes

GIA Workgroup Minutes
October 30, 2000

Present-Carrie Stephenson, Miko Pattie, Bill Richardson, Charles Robb, Sandee Mcaninch, Jackie Kinder, Beverly Daley.

We looked at the GIA Survey results that have been received by KYVL. We have received a dozen surveys so far. We decided to leave the survey up for awhile without a set deadline to see how many more we receive.

Jackie contacted Barbara Teague about joining the GILS Project Committee. Barbara agreed that this would be a good idea and she will contact Jackie when the committee is ready to meet.

We looked at the rough draft of the Kentucky Statistical Abstract. We have several volunteers already and will continue to recruit.

Volunteers so far are-

Rachel Augello for Parks, Recreation, Travel and Tourism
Beverly Daley for Vital Statistics
Brian Erb for Geography
Claudia Fitch for Labor Force, Employment, Manufactures
Roxanna Jones- Population and Transportation
Rosemary Meszaros for Statistical Abstracts from other states and outlying areas
Matt Onion for Industrial Outlook
Bill Richardson for State and Local Government including finances, employment, elections, etc.
Rae Shepherd-Schlecter for Patents and Trademarks
Barbara Whitener for Education, Natural Resources, Energy, Environment, Law Enforcement, Crime
Phil Yannarella for Health and Nutrition

Sandee will ask Gary Austin about the subject headings we are using. Some of them are long and we want to know if these are official subject headings or if they can be changed. Sandee will let Jackie know and then Jackie will revise the draft and add the guidelines, a website submission template for contributors, the websites that we have received so far and a table of what subjects are still available. Potential volunteers should contact Jackie.

Websites submitted by volunteer subject specialists will be added automatically without review by the GIA Workgroup unless the site seems to be outside the scope of the project or does not meet the criteria (example- sites that are not free) The specialist will be responsible for adding a brief value-added description of the site. No more than a paragraph of information that will tell the user about the site, the information contained in the site, why this is the best site to use, why you chose it, if there are any access restrictions. Each specialist should submit their top 2 to 5 sites for their subject by December 31. This will give us a good start. Then they can continue to add more sites. They will also be responsible for maintaining their page. Jackie will send them a LinkAlarm report every 2 months that will identify broken links that need to be updated.

We want to go live on January 1. KYVL will do a press release to announce it. We want to have a live site available in time for the governor's Latin America Conference in January.

At our next meeting, we are inviting the volunteers to attend so that we can have at least one face-to-face meeting with them to review the test site, the guidelines and responsibilities, and answer questions.

Next meeting- Friday, November 17- 10 a.m. to noon in Conference Room B at CPE/KYVL in Frankfort.
