Steering Committee Minutes

Present: Jim Nelson (Chair), Larry Besant, Fran Davis, Mike Binder, Tari Keller (for Paul Willis), Perry Bratcher, Coy Harmon, Diane Culbertson, Lee Van Orsdale, Kathleen Bryson, Judy Burdine, Susan Brown, Miko Pattie, Paul Fuller, Charlene Davis Absent: Hannelore Rader, Dave Ballard, Karen McDaniel, Bill Hansen, Jackie Calvert

1. KCVL Updates:

1.1. Database access: Miko reported on the status of the 3 contracts we are pursuing. Contract for the EBSCO's 15 databases is in place and effective Oct. 1. The authentication process and password distribution were discussed. The WebZ interface and proprietary interface were also explained and discussed.

1.2. Ground courier service bid: There will be a meeting with potential vendors to find out what we need to do to revise the bid document so we will be successful for our 3rd attempt.

1.3. KCVL Launch: This will be a thank-you party for all who have worked so hard for this project. Miko asked we should ask vendors to sponsor this event. It was decided that the members would make contributions for this so that we could stay objective in our future dealings. It was suggested for members to contribute $300 each. The Launch will truly be a collaborative effort.

2. Marketing:

The members recommended to enlarge the workstation decal for libraries to put on the front door. The size is to be 5x5 or 6x6. Lee proposed to have a video made for marketing or training. Miko will check with EBSCO on this.

3. Training:

The group looked at the training plan and proposed to limit 3 per library for the 1st set of basic training to be held in November.

4. Digitization Project:

Jim reported on the museum digitization project that he is coordinating. A grant proposal to the IMLS will be submitted for the project next March. It will be a KDE-based learning project.

5. Technology Subcommittee Report:

Tari reported on the status of bringing Z39.50-compliant library catalogs under WebZ. The schools' Follett system will probably have to wait until later to be integrated here. There will be a meeting Oct. 22 for Endeavor hub sites to discuss how UK and UofL support client libraries. There will be sets of procedures to be followed when problems occur.
