Resource Sharing Workgroup Minutes


Minutes- August 29, 2000

Present: Linda Sherrow, Allen Ashman, Ruth Kinnersley, Carolyn Tassie, Jackie Kinder, Nancy Mollette, Barb Hale, Miko Pattie

We met at the KYVL office in Frankfort to evaluate Ground Courier Service implementation. Miko also talked to the group about the next project- Patron Initiated ILL.

Ground Courier Service
Overall, Ground Courier Services seem to be going very well. There were some initial problems with the dry run distribution and continuing problems in some areas. Results from the online evaluation conducted by KYVL, were, for the most part, very positive, but did highlight a few continuing problems with scheduling, poor communication with drivers, and drivers and librarians adjusting to new procedures and expectations. Lanter met with KYVL staff on August 15, to discuss the problems and to work on solutions. Lanter would like to meet with the Resource Sharing Workgroup at the end of September or early October to see if problems still exist and if the proposed solutions are working.

KYVL is ordering signs and additional bags for distribution.

The two Oldham County branches are being added to the contract because the Oldham County system does not have a shuttle system to the branches.

Additional bags for AIKCU libraries will be distributed at no charge.

Jackie will send a message to the listserv to remind people to fill out the Statistics form and submit to KYVL by the deadline of September 15.

Linda will update the Procedures to reflect the changes made by Lanter.

We need to determine what the average cost savings are for the libraries that are participating in the Courier Service.

Linda will calculate the estimated cost savings for Jiffy Bags.

Barb will calculate the estimated cost savings for alternative delivery methods, such as U.S. Mail and UPS.

Barb told the workgroup about a free mailing label software that could be used by libraries to create the shipping labels. The group will evaluate it to see if it would be worthwhile to pursue. ARIEL
The Daily Statistics Worksheet will be available on the KYVL website for libraries that want to use it in-house to keep track of their Ariel Statistics. It will not be submitted to KYVL.

Patron Initiated ILL
Miko distributed a memo concerning the steps for implementing Resource Sharing through the KYVL Gateway and minutes from the KYVL/OCLC Resource Sharing Meeting held in December 1999.

The next phase of this plan is the Patron Initiated ILL. The Resource Sharing Workgroup will have the responsibility for this project.

Miko will set up a conference call for the group with OCLC for the first week in September.

Our goal is to implement ILL via the KYVL Gateway by July 1, 2001. The workgroup needs to determine what has to happen to make this project a reality by that date. There are two issues the workgroup will need to address-(1) the authentication problem of how to link users with their libraries and (2)Native Interface ILL.

Miko will look into what other statewides are doing and will contact Incolsa to see what their solution was.

We will also be looking at how to include the Kentucky Serials Union Listing in the KYVL. Allen Ashman will give the group a report on the current state of that project at the next meeting.
