Document Delivery Subcommittee
Minutes
9/17/1999

Present: Miko Pattie, Jackie Kinder, Barb Hale, Nancy Mollette, Mary Ann Dewey, Ruth Kinnersly

Ariel Expansion- KCVL will get an Ariel workstation. Further expansion to the Public Libraries will be postponed for now.

There is some extra one-time money that will be available since Ariel is not being expanded. There was discussion about what to use the money for. Upgrade hardware/software at the doc delivery sites? Buy a statewide license for CLIO? Tammie Clements will check on the cost for this through SOLINET.

Miko will email the SAALCK Interlibrary loan librarians and cc the library directors to see what they need and will tell them to get back to her within a week with their needs.

Ariel Training- Barb Hale and Jackie Kinder have planned Ariel Training workshops for October. The training outline and schedule were distributed and are also available on the KCVL web page behind About KCVL.

Ground Courier Service- There was discussion about the bid. No vendors bid the second time. We discussed how to revise the bid for the third time. The Council will only try one more time so we need to think about how to change the wording and to try to figure out what we are asking for that vendors are not willing to give. We decided to invite vendors in for presentations/advice before we submit the bid for the third time. We would like to do this the week of October 18. This would give us time to rewrite the RFP and resubmit it by November 1 and hopefully have the service available by January 2000.

Miko talked to Courier Express. They did not bid because they wanted to ask some questions and were told that it was too late to ask questions. We talked to Elizabeth Broaddus of Federal Express to find out why they did not bid. She said that FedEx does not offer a ground courier service. She referred us to Tony Mancini of RPS. We talked to Tony Mancini who said that RPS is very interested in us but the reason they didn't bid was because they did not get the bid proposal from FedEx in time to get a bid submitted. He has asked for Miko to call him and set up a meeting between the two of them to discuss further before he involves his National Account Manager in a presentation.

It was decided that we would like Miko to arrange for 5 vendors to come do presentations. They are-

  1. Airborne (also ask them if the reason they didn't bid was because of it being ground courier)
  2. Courier Express
  3. Pony Express
  4. RPS
  5. UPS
