In Attendance:

Deadline for moving finding aids from temp to live server
January 1 with the exception of Louisville. They have ARL stuff to focus on. Could put finding aids out raw with a disclaimer. UL is OK with this. KYVL will talk with Mary Margaret to figure out how we can support her.

SiteSearch Database
Wanted database that we could batch load and have people load individually. At this time we cannot do both. There will be a conference call to SiteSearch OCLC next week to discuss and come up with solution. "Save Databases" is also unstable. Can probably run script on finding aids and some objects to automatically create record. Can we import to SiteSearch from another relational db? Yes, we just need to work on a procedure.

How do we get records created for finding aids? Have the central site do them. 60 days after their creation they will go live. Institutions have 60 days to QC. They can QC them after they go live.

Similar for microfilm - central creation; 60 days to QC. Create hidden field that indicates whether or not the record is QC'd so that we can search for those not QCd.

Eric believes that February 1 will be the date he'll have records generated for finding aids. Might be able to grab MARC records if they exist for the objects/finding aids. If subjects are already there then central site will grab them automatically. Central site will enter required fields and other fields if they are easily identified.

Press release for finding aids in January.

Inventory for microfilm
Marc records might already be created for the items on microfilm. Repository will send rolls to the outsourcer - outsourcer will send microform back to institution. Repository will fill out inventory sheet. Eric needs copy of the inventory sheet so he can do his work.

Filson Club has requested to be part of microform outsourcing. CPE General Council says okay as long as they sign MOA, pay, and make them publicly available.

Prioritizing collections to be imaged at UK
Paducah Public Library - Civil War Letters - Mary Margaret will call to see if they have copyright
Lexington Public Library - Duff's funeral notices
SECC - Pictureman Mullins
Morehead has 1300 slides to go with Barber finding aid
Priority to Public Libraries and Community Colleges to round out the collections (the institutions not in the microform out sourcing).

New business
Clara's been contacted by Ohio University who is writing an NEH grant - they are in planning phase - Ohio University is trying to create a regional digitization center.

We should create OCLC record for Kentuckiana digital library as a whole and for specific collections in the larger collection.

Eric - Naming the "projects" link - could call it "images and sound" or media gallery. Decision: go with Images and Sound.

Sample Copyright statement: Each institution will have their own copyright statement. Institutions should respond to Eric by December 20.

RLG wants to add us to a mass project.
Texas has said that it is up to the individual institutions to decide. California has sent theirs. Eric will get more information and send to the listserv.
