Marketing Subcommittee Minutes

COMMONWEALTH VIRTUAL LIBRARY

CVL Marketing Subcommittee
June 23, 1999
CPE Board Room, Frankfort, KY

Present: Chair Judith Burdine called the meeting to order at 1:30 p.m. Members present were Debbie McGuffy, Carolyn Tassie, Laura Whayne, and Miko Pattie. George Graves and Lisa Wallace met with the group.

Burdine asked Carolyn Tassie to record the minutes.

Introductions included the introduction of new committee member, Laura Whayne, representing special libraries.

Review of Groundbreaking event

Judith led the reports of the success of the groundbreaking activities on May 17. Judith produced newspaper articles and photographs of the event at Pulaski County Public Library where approximately 25 guests attended. Miko reported that 50 participants who attended the Lexington Public Librarys event were each presented a packet of materials about KCVL. Miko also reported that the Davis County Public Library was unable to get a connection. This experience is a learning experience that we need to work more closely with remote sites for such events. Northern Kentucky University had a successful turnout that included constituents of Kenton County and Boone County libraries. Morehead University also hosted an event.

KCVL Status

Miko reported that purchasing has rejected the Ground Courier Service proposals. Time is not adequate of the steps required for evaluation and approval. Miko is working with some of the companies to resubmit proposals that match our criteria. Hopefully, a proposal will be accepted by mid to end of July. The July orientation will cover the proposed service if not in place. Decals, Brochures, Mouse Pads, etc.
Brochures for KCVU and KCVL are completed. Mouse pads have been returned to the company so that the URL can be added. Both of these will be distributed to all attendees at the orientation.
Miko showed the committee the decals for computers. Consensus: The committee agreed that, for consistency, all libraries will be asked to put the decal on the upper left corner of terminal frames. Consensus: The committee was in agreement that the post card example is a desirable promotional item because of its many uses. Miko also presented the new KCVL homepage that now has the identifiable url: www.KCVL.org .

KCVL Orientation

The Orientation sessions will be held on July 12 and 13 in the conference room of CPE and through interactive television. The 2 day orientation will include an introduction by Mary Beth Susman on KCVU, comments by Miko on KCVL, and the new director of student services will talk about the call center. There will be a session on each of the functionalities of KCVL: Databases, Online tutorial, Endeavor, Government documents, Digitization, and Document delivery. Invitations will be issued to the official KCVL contact, the document delivery person, and the systems person for each library. In addition the 104 committee members will be invited.

Roll-Out

The committee discussed ways to make the roll-out of databases available to all Kentucky citizens. The group decided on a launch with a rocket launch countdown on all library connections. The launch will begin with a countdown to the time that the databases are ready for use. The preferred time is 11 am on August 4. Debbie will check on the dates for legislators schedules and conflicts. Miko will ask a staff person to do the computer graphics.
